Use it when
Start of the day. You have texts, voicemails and notes from yesterday and need to know what comes first.
The instruction
Copy it into ChatGPT, Claude, Gemini or Copilot and fill in the [brackets]. The rules at the end are what stop it from guessing.
Here are my open notes. Sort them into a short action list for today. Rules for this: account for every note once. Put duplicates together. Mark anything already done or declined. Use only deadlines that are written in the notes. Do not assign work to anyone I did not name. What matters most to me: [your rule, for example: promised deadlines first, then anything blocking a booking] Notes: [paste them, one per line] Rules: use only the facts I give you and my business fact sheet if I shared it. Do not invent prices, warranty terms, diagnoses, code requirements, dates or promises. Mark anything I did not confirm with [brackets] and list it under the draft. Keep it short and friendly, like a local business owner wrote it. Write the draft first, then ask me at most one question.

1) Promised Lopez estimate by noon today, owner has to approve amount. 2) Chen job done, need description for the invoice. 3) Patel declined the estimate, said no more follow up. 4) Invoice for Reyes shows open, haven't checked payments. 5) Lopez again, same estimate, no new info. 6) Two different addresses on file for the Kim job, need to confirm before scheduling.
Example draft
Today, in order: 1. Lopez estimate, due at noon (notes 1 and 5, same task). Needs your approval of the amount before it goes out. 2. Confirm the right address for the Kim job before scheduling (note 6). 3. Write the invoice description for the Chen job (note 2). No deadline given. The rest: - Patel (note 3): declined, no more follow-up, as they asked. - Reyes (note 4): check whether it has been paid before sending any reminder.
